A STEM night plan for the people running it

Set a workable station count, plan family flow, pack materials by table, and give each volunteer a short job sheet.

Choose the station count from the help you have

National PTA's festival toolkit covers the budget, volunteer sign-up, materials plan, facilitator guide, and family guide. The activities are only one part of the night.

Choose only as many stations as your volunteers, reset time, space, and supplies can support.

Work out one turn at each table

For each station, write down how many families can participate at once, how long a turn takes, what needs resetting, and which materials can be reused. List supplies that get used up separately.

Pack one labeled bin per station when possible. Add a short setup photo or note only if it does not include student identity or private school information.

Not every volunteer runs a station

Assign check-in, setup, station leads, floaters, supply runners, cleanup, and a person who can answer family questions. Build breaks into a longer event.

Before doors open, check where lines are likely to form. A popular station with a slow reset may need a second table or a short waiting activity.

Write for families at the table

Use short signs and plain explanations that tell families what to do and what they may notice. Ask the school how to handle translations and accessibility needs for family materials.

After the event, record actual attendance, supplies that ran short, reset trouble, and volunteer notes. That is the starting point for the next organizer.
